Each family in the preschool has a job. The success of our school depends on the support and cooperation of all families. Please read the Job Descriptions to help you determine the job for which you are best suited. If you are registering for September, job selection will be done at the August Coffee Party. If you are registering mid-year, please contact the Enrollment person to determine which jobs are available.

Jobs Description

(subject to minor revisions)

PRESIDENT

    maintains regular contact with general membership

    convenes and presides over all General and Executive meetings

    ensures decisions are made and carried out

   works in partnership with teacher and teacher assistant to guide the policy of the group

   is responsible for the administration of the school

    attends local Presidents’ meetings arranged by the Vancouver CPPP Branch

    receives and checks bank statements and gives to Treasurer

VICE-PRESIDENTS (one for each class)

    assists the president and assumes the President’s responsibilities as required due to illness or other absence

    organizes any special committees as needed

    phones all families after first month of school to ensure they understand and are comfortable with their jobs

    ensures assigned jobs are being performed effectively by duty parents throughout the school year

    maintains close contact with membership

    organizes toy washes three times per year

    enforces missed meetings policy, upon notification from Parent Education person

   ensures caretaker of Falaise Park Hall has a copy of Calendar of Events

    makes booking arrangements to reserve the school for any special event/occasion

    organizes semi-annual floor washes and wax

    >responsible for yearly review of preschool

SECRETARY

    keeps accurate records of all Executive and General meetings

    handles all correspondence, keeps and maintains all the preschool’s correspondence and  official documents

    posts a copy of the minutes of all Executive and General meetings on the bulletin board

    shall do photocopying as requested and maintain photocopy machine and related supplies (paper and toner)

    shall do the typing as requested for items pertaining to school business

TREASURERS Bookkeeper

    records invoices, deposits and cheques

    maintains accounts payable

    gives books to accountant to prepare monthly statements

    maintains records of all fees and enrollments

    writes cheques

Accountant

    develops balance sheets

    prepares monthly financial statement

    manages teachers’ salaries

    files tax return

    makes application for casino funds grant

FUNDRAISING CHAIRPERSON

    organizes all fundraising events of the preschool and encourages all parents to participate equally to meet the school’s projected budget

    collects all funds and delivers them to the Treasurer

    prepares a list of all major fundraising events prior to the first General meeting

ENROLLMENT CHAIRPERSON

    plans and executes enrollment policies

    receives enrolment forms, and Parent Agreement forms for the school file

    prepares membership lists

    refers classroom observations by prospective new members to Orientation Person

    ensures members understand their respective jobs and can perform them effectively

    organizes annual Open House and attends August Coffee Party

    updates and maintains preschool parent handbooks

ENROLLMENT ASSISTANT/ADVERTISING

    assists Enrollment Chairperson as required

    promotes Happy Corner Preschool within the neighbourhood through community centres, health centres, libraries, churches, schools, pools, rinks, stores, etc.

    arranges distribution of advertising materials

    arranges advertising through TV, radio and local newspapers

    helps to organize and attends annual Open House

ORIENTATION (one for each class)

    assists in the preparation of new members for their duty parent education responsibilities in a PPP program

    outlines the 10 hours orientation prerequisite for new members and keeps a record of the completed hours and advises Enrollment person when orientation is complete

    arranges classroom observations by prospective new members after referral from Enrollment Chairperson

    notifies Duty Scheduler when a new parent is fully oriented to do a duty

    explains and supplies reading materials of PPP requirements, the Preschool’s philosophy, teacher’s philosophy, organization of the preschool, and tasks on duty days

    shows new members the physical layout of the school

    attends the Open House and the August Coffee Party to speak with new members

    may be asked to assist with advertising

PARENT EDUCATION

    arranges the parent education portion of each General meeting including introducing the speaker

    prepares a budget to accommodate speakers throughout the year as well as other parent education materials

    promotes and distributes educational/advisory materials on parenting, health and safety issues

    prepares sign-in sheets and tracks parent attendance at General Meetings

    responsible for Parent Education Make-ups including: informing parents who have not yet made up meetings, ensuring alternate Duty Parents do their Make-ups, and informing VP’s of Parents who have “missed”  meetings.

NEWSLETTER

    produces a monthly newsletter to keep parents advised of school activities and community events

    collects articles from executive, other parents, teachers, Parent Ed person, community centres, etc.

    distributes newsletter through cubbies or at General meetings

CREATIVE ASSISTANT

    maintains school photo album

    cuts paper, decorations, as requested by teachers

    prepares play-doh monthly

    cleans tools (i.e. scissors are free from glue/paint, markers are working)

    helps with special projects


DUTY SCHEDULER AND TELEPHONER (one for each class)

    draws up a duty schedule for qualified duty parents

    assigns duty days equally among parents considering their employment, health, availability, etc.

    prepares monthly calendars, including duty days, important dates, excursions, birthdays, furniture moves, meetings

    distributes schedule 2 weeks in advance of the month scheduled

    communicates with Enrollment/Orientation person prior to scheduling new parents for duty days to ensure they are fully oriented

    telephones each member to remind them of up-coming events, as requested by the Executive or teachers

    maintains a list of those contributing food and draw prizes for General meetings and informs contributing members prior to the meeting

FURNITURE MOVE SCHEDULER AND RENFREW LIAISON

    attends Renfrew Community Association meetings as required, acting as liaison between preschool and Association

    coordinates furniture moves before and after a hall rental together with Furniture Move Assistants

    assigns furniture moves equally among the parents (considering such things as parent preference for the day of moving and experience level) with as much advance notice as possible, both by telephone and in writing

    ensures “map” of classroom is up to date for setting up and putting away

    notifies teacher of moves in advance so they can prepare classroom

    prepares a list of parents who are willing to do extra moves for payment of $20.00/move

FURNITURE MOVE & FUNDRAISING ASSISTANTS (four or more)

    acts as a Team leader for each group

    ensures keys are brought to the move

    calls each team member prior to the move to remind them of the move

    informs Furniture Move Scheduler of any problems/no-shows

    assists the Fundraising Chairperson

    will organize the monthly draw at General meetings

  will be responsible for one of four tasks:
     A & B) Bottle Returns
     C)Chocolate sales and "Pennies for Preschool"
     D)Event supporter (Pub Nights)

LIBRARIAN, SCHOLASTIC BOOKS AND SHOPPING

    purchases new books and borrows library books for the parent library and periodically draws the membership’s attentions to the contents of the library

    maintains library system for loaning books

    distributes order forms and collects Scholastic orders each month

    delivers books to parents

    keeps record of books purchased for school from Scholastic for inventory purposes

    purchases school supplies as needed and as requested by the teacher

SOCIAL CONVENER

    purchases refreshment supplies including coffee, tea, sugar and milk

    sets up chairs for the General meetings prior to 6:45 p.m.

    makes tea and coffee and puts out refreshments

    puts away all chairs after the meeting and ensures the classroom is set up again

    washes used cups and cleans kitchen

LAUNDRY AND SEWING

    washes all dirty towels and clothes weekly

    alters and sews dress-up clothes

    September, Christmas, Spring Break and June: takes home and washes dress up clothes, and paint smocks

EQUIPMENT/EQUIPMENT REPAIRS AND INVENTORY

    responsible for planning (with assistance from the teachers and Executive), purchasing and construction of/or maintenance of all equipment

    responsible for pick up and return of rented equipment

    keeps toys, tricycles, etc. in good repair and attends to minor repairs in the preschool

    responsible for the year-end inventory and sending copies of this to council

    checks and restocks earthquake supplies twice a year

HOUSEKEEPING/HEALTH AND SAFETY (four in total)

    weekly basis - responsible for light house keeping of the school (two families will perform same duties, each on alternate weeks - i.e. actually bi-weekly job)

    monthly basis - responsible for heavy duty cleaning from the list provided by teachers (two families will perform different duties, each on a monthly basis)

    stocks first aid kit

    ensures all items in preschool are properly labeled for safety (i.e. bleach bottles, soap bottles, paints, glues, etc.)

    ensures fire extinguisher has been serviced and replaces batteries in smoke detectors twice a year

    checks outlets for safety plugs on a continual basis
